Process
1. Welcome and Icebreaker (10 minutes)
Activity: The Last Time
↳ Ask participants to share a short story about the last time they experienced a frustrating delay or inefficiency in a workflow.
2. Mapping Current Workflows (20 minutes)
Activity: Process Mapping
↳ Divide participants into small groups based on key processes (e.g., project management, product development).
↳ Each group maps out their workflow for a specific process, using a large sheet of paper or whiteboard:
- Start with the first step and continue until the process is complete.
- Include roles, tools, and decision points.
3. Identifying Bottlenecks and Inefficiencies (20 minutes)
Activity: Spot the Sticking Points
↳ With their workflow map in front of them, each group identifies:
- Bottlenecks: Steps where progress slows or stops.
- Redundancies: Tasks or steps repeated unnecessarily.
- Miscommunications: Points where unclear roles or expectations cause delays.
↳ Use sticky notes to label these issues on the map.
4. Brainstorming Solutions (25 minutes)
Activity: Workflow Makeover
↳ Each group brainstorms solutions for the inefficiencies they identified.
- Consider tools, clearer roles, better communication, or removing redundant steps.
↳ Groups update their workflow maps with proposed changes.
5. Creating an Action Plan (15 minutes)
Activity: Commit to Change
↳ As a whole team, consolidate key takeaways into an action plan. Discuss:
- Which changes can be implemented immediately?
- What requires additional resources or buy-in?
- How will progress and effectiveness be monitored?
↳ Assign owners to specific actions and set timelines.
Facilitator Notes

- Creating an Action Plan (15 minutes): Remind the team that workflow improvements are a shared responsibility.
Follow-up
Schedule a review meeting in 4-6 weeks to evaluate the success of the changes and address any remaining issues.
