Ensure every team member understands their goals, roles, and responsibilities to reduce confusion and misalignment.

Materials Needed
- 60 mins
- Virtual meeting platform (Zoom, Teams, etc.)
- Collaborative document (Google Docs, Miro, MURAL, etc.)
- Pre-prepared team role descriptions (if available)
Process
1. Introduction (10 minutes)
- Facilitator opens with a question:
“On a scale of 1-5, how clear are you on your own role and responsibilities?”
(Use poll or chat responses.) - Explain the goal of the session:
“Today, we’ll ensure everyone understands their roles and how they connect to team goals.”
2. Identifying the Gaps (15 minutes)
Exercise: Role Confusion Hotspots
- Breakout rooms (3-4 people).
- Discuss: “What aspects of your role feel unclear? Where do responsibilities overlap?”
- Each group notes 3 key confusion points in a shared document.
Debrief
- Facilitator reviews common themes.
- Highlight why role clarity matters: fewer errors, faster decisions, and better collaboration.
3. Role and Goal Mapping (20 minutes)
Exercise: Who Does What?
- Create a simple grid in the shared document with three columns:
- Role (e.g., Project Manager, Designer, Analyst)
- Key Responsibilities
- How This Supports the Team Goal
- Each person writes their role and responsibilities.
- Facilitator asks: “Do any responsibilities overlap or seem unclear?”
Clarify team goals
- Facilitator reviews or refines the team’s main objectives.
- Ensure everyone understands how their role contributes.
4. Practical Application (15 minutes)
Exercise: Expectation Check-in
- In pairs (breakout rooms or chat), each person answers:
- “What do I expect from my teammates?”
- “What do my teammates expect from me?”
- Share key insights in the main session.
5. Action Plan and Close (5 minutes)
- Each person writes one action to clarify their role with their manager or peers.
- Facilitator summarises takeaways.
- Follow-up: Create a Team Responsibility Document and revisit in a month.
