Improve response times in team communication to reduce delays and bottlenecks.

Materials Needed
- 60 mins
- Virtual meeting platform (Zoom, Teams, etc.)
- Collaborative document (Google Docs, Miro, MURAL, etc.)
- Chat function or polling tool for quick feedback
Process
1. Introduction (10 minutes)
- Facilitator sets the scene:
“Slow responses create bottlenecks, frustration, and inefficiencies. Today, we’ll explore how we can communicate faster without increasing stress.” - Quick poll: “On a scale of 1-5, how often do slow responses delay your work?”
- Share (or ask for) an example of how delayed responses impact team workflow.
2. Identifying the Bottlenecks (15 minutes)
Exercise: “Where Do Delays Happen?”
- Breakout rooms (3-4 people).
- Discuss:
- “What situations cause the most delays?”
- “Why do people take longer to respond?” (e.g., unclear requests, too many messages, no clear urgency)
- Each group shares their top 3 communication bottlenecks in a shared document.
Debrief:
- Highlight common themes.
- Reinforce that the goal isn’t to force people to reply instantly, but to make responses smoother and more efficient.
3. Best Practices for Faster Responses (15 minutes)
- Introduce 3 key principles for improving response times:
- Make it easy to respond – Be clear, specific, and provide context.
- Set expectations upfront – Use response time agreements (e.g., “I’ll get back to you within 24 hours”).
- Use the right tool for the job – Not everything needs an email; chat, quick calls, or shared docs might be better.
- Interactive discussion: “Which of these is most relevant to your team?”
4. Practical Application (15 minutes)
Exercise: “Rewriting for Speed”
- Each participant finds a recent message they sent that got a slow response.
- They rewrite it to make it clearer, more action-oriented, or easier to reply to.
- Share a few examples and discuss improvements.
5. Action Plan & Close (5 minutes)
- Each person commits to one small change to improve response times.
- Facilitator summarises key takeaways.
- Follow-up: Suggest tracking response times for 2 weeks and reviewing improvements.
