Process
1. Welcome and Icebreaker (10 minutes)
Activity: Deadline Memories
↳ Ask participants to share a memorable experience (good or bad) related to a deadline.
2. Understanding the Problem (15 minutes)
Activity: Why Deadlines Are Missed
↳ As a group, brainstorm common reasons for missed deadlines (e.g., unclear expectations, overcommitment, poor time estimation).
↳ Use sticky notes to cluster similar reasons on a board.
3. Time Management and Planning Skills (20 minutes)
Activity: Task Prioritisation Matrix
↳ Introduce a simple prioritisation tool like the Eisenhower Matrix (Urgent/Important Matrix).
↳ Create a list of team tasks and ask participants to categorise them into the matrix.
↳ Discuss how focusing on important tasks early can help prevent last-minute rushes.
4. Developing Accountability (20 minutes)
Activity: The Responsibility Circle
↳ Divide participants into small groups. Provide a fictional scenario where a project deadline is at risk.
↳ Each group discusses:
- How they would address the issue.
- What steps they could take to ensure accountability.
- How they would communicate changes in timelines to stakeholders.
↳ Groups share their approaches with the larger team.
5. Creating a Team Workflow (20 minutes)
Activity: Team Deadline Charter
↳ Work as a team to develop guidelines for managing deadlines, such as:
- Breaking tasks into smaller milestones.
- Regular progress check-ins.
- Escalating risks early.
↳ Document the guidelines and agree to adopt them.
6. Closing and Reflection (5 minutes)
Activity: Commit to Improvement
↳ Each participant writes down one personal commitment to improve how they handle deadlines (e.g., “I will set reminders for all key milestones”).
↳ Share commitments with the group to promote accountability.
