Process
1. Welcome and Icebreaker (10 minutes)
Activity: The 60-Second Productivity Tip
↳ Each participant shares their favourite personal productivity tip in 60 seconds.
↳ Capture tips on a flipchart or whiteboard.
2. Identifying Productivity Barriers (20 minutes)
Activity: Stop, Start, Continue
↳ Divide participants into small groups. Ask each group to brainstorm:
- Tasks or habits the team should stop doing because they’re unproductive.
- New processes or habits to start doing to enhance productivity.
- Existing practices to continue because they work well.
↳ Share insights and compile into a consolidated list.
3. Aligning on Priorities (20 minutes)
Activity: Urgent vs. Important Matrix
↳ Introduce the Eisenhower Matrix (urgent vs. important).
↳ Ask participants to work in groups to categorise team tasks/projects into:
- Quadrant 1: Urgent & Important.
- Quadrant 2: Not Urgent but Important (focus here).
- Quadrant 3: Urgent but Not Important.
- Quadrant 4: Not Urgent & Not Important (eliminate or minimise).
4. Streamlining Workflows (20 minutes)
Activity: Workflow Mapping
↳ Choose a key process or project the team works on regularly.
↳ Map out each step in the process, identifying bottlenecks, redundancies, or unclear handoffs.
↳ Brainstorm improvements to streamline the workflow.
5. Action Plan and Commitment (15 minutes)
Activity: Productivity Pledges
↳ Individually, participants write down 1-2 specific actions they will take to enhance team productivity (e.g., "Check email only twice a day," "Clarify tasks during meetings").
↳ Share these pledges with the group for accountability.
6. Closing and Reflection (10 minutes)
Activity: One Key Takeaway
↳ Each participant shares one insight or strategy they’ll apply immediately.
Facilitator Notes

- Streamlining Workflows (20 minutes): Output is a revised, simplified workflow for the chosen process.
- Action Plan and Commitment (15 minutes): Encourage the team to track progress on these actions.
- Closing and Reflection (10 minutes): Reinforce that improving productivity is an ongoing team effort.
Follow-up
Schedule a follow-up session in 2-4 weeks to assess the impact of changes and refine the action plan.
