Understanding the Problem (15 minutes)
Activity: The Workload Web
↳ On a flipchart, create a diagram of team roles.
↳ Ask participants to write on sticky notes the tasks they believe are unevenly distributed or unclear and place them near the relevant roles.

Transparency in Task Allocation (20 minutes)
Activity: Task Visibility Map
↳ Create a visual chart listing team members and their current responsibilities.
↳ Discuss:
Are tasks clearly defined?
Are workloads visible to everyone?

Collaborative Workload Balancing (25 minutes)
Activity: Redistribution Exercise
↳ Divide participants into small groups. Refer to the list of tasks created in the “Understanding the Problem” step.
↳ Groups work together to rebalance tasks using principles such as:
Matching skills to tasks.
Considering individual capacity.
Ensuring fairness.
↳ Groups present their solutions and reasoning.

Creating a Workload Management Plan (20 minutes)
Activity: Team Fairness Charter
↳ As a team, brainstorm principles for fair workload distribution. Examples:
Regular workload reviews during team meetings.
Open communication about capacity and bandwidth.
Flexibility to redistribute tasks when needed.
↳ Consolidate these into a “Team Fairness Charter.”

Closing and Reflection (10 minutes)
Activity: Individual Commitment
↳ Each participant writes down one personal action they’ll take to improve workload balance (e.g., “I will speak up when my workload feels overwhelming”).

Schedule a follow-up in 4 weeks to review how the Workload Management Plan is working and make adjustments as needed.
