Problem
Some teams are overburdened while others are underutilised, creating resentment and inefficiency.
Workshop Title
"Balancing the Load: Achieving Fair Work Distribution Across Teams"
Objectives
- Identify the causes of uneven workload distribution.
- Foster transparency and fairness in task allocation.
- Develop strategies for balancing workloads effectively across teams.
Materials Needed
- Flipchart or whiteboard.
- Workload mapping templates (simple tables or forms).
- Scenario cards for the redistribution exercise.
Process
1. Welcome and Icebreaker (10 minutes)
Activity: Workload Word Cloud
↳ Ask participants to describe their current workload in one word (e.g., "hectic," "manageable," "light").
↳ Write responses on a flipchart or whiteboard to visualise the range of experiences.
2. Understanding Workload Challenges (15 minutes)
Activity: Where the Imbalance Lies
↳ In small groups, participants discuss:
- What causes uneven workload distribution? (e.g., unclear roles, lack of visibility, over-reliance on certain team members).
- How does it impact individuals, teams, and the organisation?
↳ Groups share their insights, and the facilitator records themes.
3. Increasing Transparency (20 minutes)
Activity: Workload Mapping
↳ Provide a simple template for participants to list their current tasks, responsibilities, and deadlines.
↳ In pairs or small groups, participants share their workload maps to gain visibility into each other’s responsibilities.
4. Balancing the Load (25 minutes)
Activity: Redistribution Exercise
↳ Present a hypothetical scenario where workload distribution is uneven (e.g., one team is overwhelmed while another is underutilised).
↳ Groups work together to:
- Identify tasks that could be redistributed.
- Suggest strategies to improve balance (e.g., cross-training, task-sharing).
↳ Groups present their solutions to the larger team.
5. Creating a Workload Equity Plan (15 minutes)
Activity: Team Agreement
↳ As a whole team, brainstorm actionable steps to ensure fair workload distribution, such as:
- Regular workload reviews.
- Clear guidelines for task allocation.
- Encouraging open communication about capacity.
↳ Document these steps in a "Workload Equity Plan."
6. Closing and Reflection (5 minutes)
Activity: One Commitment
↳ Each participant shares one action they will take to support fair workload distribution (e.g., “I’ll communicate when I’m overwhelmed”).
Facilitator Notes
- Welcome and Icebreaker (10 minutes): Purpose is to highlight the diversity of workload perceptions and set the tone for collaborative solutions.
- Understanding Workload Challenges (15 minutes): In the debrief highlight shared experiences and validate that these challenges can be resolved.
- Increasing Transparency (20 minutes): In the debrief discuss how understanding each other’s workloads fosters empathy and collaboration.
- Balancing the Load (25 minutes): In the debrief highlight practical steps for achieving fairness and efficiency.
- Creating a Workload Equity Plan (15 minutes): Output is a shared plan to promote fairness and collaboration.
- Closing and Reflection (5 minutes): Reinforce that workload equity is a team effort.
Follow-up
Schedule a review meeting in 4-6 weeks to assess the implementation of the Workload Equity Plan and make adjustments as needed.
